Change can be challenging, but with the right approach, it can also be incredibly rewarding. At GMZ, we recently guided a client. We helped them implement a new Applicant Tracking System (ATS). This was done through our Diagnostic & Consult service. We used the Change Curve model to guarantee a smooth transition. Here’s how we turned potential resistance into enthusiasm:
- Information stage: Laying the groundwork our GMZ diagnostic identified key pain points in the existing recruitment process. This data became our foundation for change.
- Support stage: Building readiness we consulted closely with the HR team to map current processes to the future state. This wasn’t just about technology – it was about reimagining their entire recruitment approach.
- Direction stage: Engaging stakeholders we created interactive engagement sessions, inviting stakeholders to contribute to the build specification. By addressing their concerns head-on, we moved from potential denial or anger to exploration and acceptance.
- Encouragement stage: Celebrating early wins. As the new ATS took shape, we highlighted how it addressed the pain points identified earlier. This built confidence and excitement about the change.
Key takeaways
Change is a journey, not a destination:
- Recognise that each team member progress through the change curve at different rates
- Plan for ongoing support and communication throughout the entire implementation process and beyond
Early stakeholder engagement is crucial:
- Recognise key stakeholders across all levels of the organisation
- Involve them in the decision-making process from the start to build ownership and reduce resistance
Addressing pain points builds buy-in:
- Use the GMZ diagnostic to find specific challenges in the current process
- Show how the new ATS directly solves these issues to create enthusiasm for the change
Continuous communication maintains momentum:
- Develop a comprehensive communication plan that spans all stages of the change curve
- Use a variety of channels to reach all team members, ensuring no one feels left behind
Tailor your approach to different stages of the change curve:
- Offer extra support during the ‘valley’ of the curve when morale is low
- Celebrate small wins to build confidence as the team moves towards acceptance and encouragement
Invest in training and skill development:
- Offer comprehensive training on the new ATS to build confidence and competence
- Offer ongoing learning opportunities to maximize its potential
Track and measure the impact:
- Set clear KPIs to track the success of the ATS implementation
- Use these metrics to show ROI and keep stakeholder support
By applying these lessons from our recent project, organizations can navigate the complexities of change management more effectively. This ensures smoother ATS implementations. It also results in better long-term outcomes.
